Zoho CRM alternatives for small business, sorted by why you want to leave
Too complex, too costly per seat, too thin on marketing or too far from your website: the best alternative depends on your reason, so here is each one with the plan you would need.
Zoho CRM is one of the best-value CRMs you can buy, so people rarely leave because of the headline price. They leave because it feels like too much software for a small team, because the per-user bill grows with every hire, because they want marketing tools in the same place, or because their website and CRM never quite talk to each other. Each of those problems has a different best answer. This guide sorts the alternatives by your reason for leaving, with the plan you would actually need and what it costs at the time of writing (October 2026).
Before you compare features, write down the one thing that bothers you most about Zoho CRM. The alternatives are good at very different things, and a CRM that fixes one problem can easily create another.
It feels too complicated. You use a fraction of the menus, nobody enjoys logging in, and setup needed someone who understood Zoho. Look at Bigin or Pipedrive.
The per-seat cost adds up. Every salesperson, assistant or part-timer adds another licence. Look at Freshsales or EngageBay.
You need marketing, not just sales. You want email campaigns, forms and landing pages tied to the contact record without buying another Zoho app. Look at HubSpot.
Your website and CRM live apart. Enquiries arrive by email, someone copies them into Zoho, and online store buyers only reach the CRM if someone sets up and maintains an integration. Look at an all-in-one platform such as WebNewBiz.
One honest point first: if complexity is your only complaint, you may not need to leave Zoho. It makes its own simpler CRM, Bigin, which can import your Zoho CRM data directly.
This page covers the CRM only. If you are thinking of leaving the whole Zoho suite, our guide to Zoho One alternatives covers that bigger move.
What Zoho CRM costs, so you compare fairly
These are Zoho CRM's US list prices per user per month at the time of writing (October 2026). Zoho shows local prices in many countries, so check the figure in your own currency.
Most small businesses need Standard or Professional, so a five-person team typically pays $70 to $115 a month on annual billing. Ultimate, at $52 per user on annual billing, adds higher limits and migration help. Keep in mind that Zoho CRM is a sales CRM: bulk email campaigns, social posting and a website are separate Zoho products or part of a bigger bundle. When an alternative looks more expensive, check whether it includes things you would otherwise buy on top of Zoho.
Smaller costs to know about: extra data storage, premium support charged as a percentage of your licence fee, and paid backups once you use up the included ones.
If Zoho CRM feels too complex: Bigin or Pipedrive
The learning curve is one of the most common complaints in Zoho CRM reviews. It can do almost anything, which means someone has to decide what it should do, set up the modules, fields, layouts and rules, and keep them tidy. If that person is you and you would rather be running the business, a simpler pipeline tool fits better.
Bigin by Zoho CRM is Zoho's own CRM for small teams, built around a pipeline you drag deals through.
Strengths: a very low price, a familiar company and login, and a direct import from Zoho CRM that brings across users, contacts, accounts, pipelines, products, tasks, events, notes and tags. Express includes 3 pipelines, 50,000 records, 30 automations, email and WhatsApp integration, booking pages and payment links.
Limits: the Free plan allows 1 user, 1 pipeline and 500 records, so treat it as a trial. Bigin leaves out heavier Zoho CRM tools such as custom modules, blueprints and forecasting. The direct import needs a paid Bigin plan (or its trial), can be run a maximum of three times, and does not bring across attachments stored inside CRM records, so download those first.
Plan you would actually need: Express, at $7 per user per month on annual billing or $9 monthly. Premier ($12 annual, $15 monthly) adds 5 pipelines, more advanced automations and AI writing help.
Pipedrive is a popular choice for small sales teams who live in their pipeline. The screen is clean and visual, and the next step on every deal is easy to see.
Strengths: a clear deal pipeline built for moving sales forward. Growth adds workflow automation (up to 50 per company), email sync and sales sequences, and the higher plans bundle lead capture tools, projects and document templates.
Limits: it costs more per seat than Zoho CRM. The Lite plan has no automations and no email sync, which is most of what makes a CRM save time. On Lite and Growth, LeadBooster (lead capture) and Smart Docs are paid add-ons. There is no free plan, only a 14-day trial.
Plan you would actually need: Growth, at $39 per seat per month on annual billing (more if you pay monthly). Lite, at $14, only suits you if you are happy to log emails by hand.
Choose Bigin if you want the cheapest, easiest step and are happy to stay with Zoho. Choose Pipedrive if your business is mainly about moving deals through stages and you will pay more for a tool your team will actually use.
If per-seat costs are the problem: Freshsales or EngageBay
Zoho CRM is already cheap per user, so beating it takes care. Compare the plan you would actually need rather than the entry price, and watch contact limits, which some low-cost CRMs use to push you up a tier.
Freshsales, from Freshworks, is a tidy sales CRM with phone, email and chat built in.
Strengths: Growth is cheaper per user than Zoho CRM Standard and includes a kanban pipeline, contact lifecycle stages, built-in chat, email and phone, email templates, custom fields and basic workflows. Pro adds contact scoring, deal insights, territory management and sales sequences.
Limits: the official pricing page currently lists paid plans only, with a 21-day trial instead of a free plan. Automation on Growth is basic, the AI agent costs extra ($49 per 100 sessions), and the jump from Growth to Pro is large.
Plan you would actually need: Growth, at $9 per user per month on annual billing, for most small teams. Pro, at $39, if you run sales sequences.
EngageBay bundles marketing, CRM and a helpdesk at small business prices.
Strengths: the Free plan covers teams of up to 15 people, which nothing else here matches, and it already includes email marketing, landing pages, a CRM, live chat and a helpdesk. Basic adds SMS marketing, lead scoring, pop-ups and a social suite.
Limits: contacts are where the price bites. Free stops at 250 contacts and Basic at 500, so a business with a real customer list will soon need Growth (5,000 contacts) at $59.79 per user per month on yearly billing. That is far more per user than Zoho CRM Standard, although it includes marketing tools Zoho sells separately.
Plan you would actually need: Basic, at $13.79 per user per month on yearly billing, if your list is small. Growth if you want marketing automation or more than 500 contacts. Paying for two years lowers the price a little.

If you need marketing tools: HubSpot
Zoho CRM is built for selling. If what you really want is to attract and nurture leads (newsletters, forms, landing pages, simple email automation) and see all of it on the contact record, HubSpot is the strongest option here.
Strengths: a free CRM for up to 2 users and 1,000 contacts, with deal pipelines, email tracking, meeting scheduling, live chat and quotes. Starter adds email automation, a website builder, ad tracking and AI assistants, and removes HubSpot branding.
Limits: the step from Starter to Professional is steep. Marketing Hub Professional costs $800 a month on annual billing ($890 monthly) for 3 core seats and 2,000 marketing contacts, plus a one-time $3,000 onboarding fee. Check carefully that the features you need are on Starter, because the next tier costs many times more.
Plan you would actually need: Starter, at a standard $20 per seat per month. At the time of writing (October 2026) HubSpot is offering new customers Starter seats at $7 a month on annual billing or $10 monthly for a limited time, so budget at the standard price in case the offer ends.

If you want the website, store and CRM in one place: WebNewBiz
Many small businesses do not have a sales process so much as a website that brings in enquiries and an online shop that brings in orders. With Zoho CRM, getting those into the CRM means web forms, integrations or copying by hand. An all-in-one platform closes that gap.
WebNewBiz is our own platform, so weigh this section accordingly. You describe your business, the AI drafts the website, and you change it by chatting. The AI CRM sits underneath: website enquiries land in it automatically, store buyers become contacts, and the AI reads and scores leads.
Strengths: one login and one bill for website, hosting, online store and CRM. You get deals, tasks and bookings, invoices that chase themselves, your own email connected, workflow automations on triggers such as a form submission or a birthday, and an AI funnel builder whose opt-ins land in the CRM as contacts. Pro adds email campaigns and social media posting.
Limits: it is a young platform with a much smaller app ecosystem and community than the established names on this page. The AI's first draft of your site still needs your own edits, photos and facts. The CRM starts on Growth (Lite and Starter do not include it), and there is no free plan. If you run a larger sales team that needs territories, forecasting and complex pipelines, Zoho CRM or Pipedrive is built for that. And if you already have a website you are happy with, a standalone CRM makes more sense.
Plan you would actually need: Growth, at $79 a month, which includes the AI CRM with 3,000 contacts and 3 team members, the online store, basic SEO tools, backups and a free domain for a year. Pro, at $149, raises that to 10,000 contacts and 5 team members. Every plan is $1 for the first month, with no minimum contract.
Take a full backup. In Zoho CRM go to Setup, then Data Administration, then Data Backup. You need admin rights, and the download link stays active for 7 days, so save the file somewhere safe straight away. A per-module CSV export does not include attachments.
List what Zoho does for you automatically. Workflows, assignment rules, web forms, email templates and scheduled reports do not travel with your data. Write each one down so you can rebuild it.
Clean before you move. Merge duplicates, delete dead leads and archive old deals. A move is the easiest moment to tidy up, and plans with contact limits charge you for every record.
Map your fields. Match Zoho's fields (lead source, stage, owner) to the new tool's fields on paper first. Most CRMs import CSV files with a mapping step, and Bigin imports from Zoho CRM directly.
Reconnect the inputs. Point website forms, email and calendar at the new CRM, then test with a fake enquiry.
Run both for two weeks. Keep Zoho as a reference while the team works in the new tool, and cancel once nothing is missing.
Which one should you choose?
You want something simpler and cheap: Bigin Express. It is the easiest move, and you stay with Zoho.
Your team lives in a sales pipeline: Pipedrive Growth.
You want the lowest per-user cost for a proper sales CRM: Freshsales Growth.
You have a large team and a small list: EngageBay, as long as you stay under its contact limits.
Marketing matters more than sales: HubSpot Starter, with your eyes open about the price of Professional.
Your leads and orders come from your website and shop: WebNewBiz Growth or Pro.
You run a complex sales operation and Zoho works: stay. Moving up a Zoho edition is often less work than switching.
Quick answers
What is the best Zoho CRM alternative for a small business?
It depends on why you are leaving. Choose Bigin or Pipedrive if Zoho feels too complex, Freshsales or EngageBay if per-seat costs are the issue, HubSpot if you need marketing tools, and an all-in-one platform such as WebNewBiz if you want your website, store and CRM together.
Is there a simpler version of Zoho CRM?
Yes. Bigin is Zoho's own CRM for small teams. Express costs $7 per user per month on annual billing, and Bigin can import your Zoho CRM contacts, pipelines, tasks and notes directly.
Which Zoho CRM alternative is cheapest per user?
Of the paid plans here, Bigin Express ($7 per user per month on annual billing) and Freshsales Growth ($9) are the cheapest. EngageBay is free for teams of up to 15 people, but only up to 250 contacts.
Can I take my data with me when I leave Zoho CRM?
Yes. An admin can request a full backup, including attachments, under Setup, Data Administration, Data Backup. The download link lasts 7 days. Workflows and web forms do not move with your data, so list them and rebuild them in the new tool.
Is HubSpot better than Zoho CRM for marketing?
For most small businesses, yes. HubSpot Starter puts email automation, a website builder and ad tracking alongside the CRM for a standard $20 per seat per month. The catch is Marketing Hub Professional, which costs $800 a month on annual billing plus a one-time $3,000 onboarding fee.
Can WebNewBiz replace Zoho CRM?
Often, if your leads and orders come from your website and online store, because enquiries and buyers become CRM contacts automatically. For a larger sales team with complex pipelines, Zoho CRM or Pipedrive is the better fit. The WebNewBiz CRM starts on the Growth plan at $79 a month.
If most of your leads and orders come through your website, the quickest test is to see what the AI website builder drafts for your business. The free AI Website Preview designs a homepage from one sentence. When you want the CRM and store too, you can start for $1 for the first month and cancel any time.
If another tool on this page fits your reason for leaving better, pick that one. The right CRM is the one your team will keep using.
